Overawards

When an overaward occurs, the Director of Student Financial Services reviews the student's financial aid file. After necessary adjustments are made, the Director contacts the student informing him/her of the overaward and the adjustment which has to be made. Adjustments are normally made by reducing a subsequent loan disbursement. Upon rare occasions, a student must write a check to the lender to repay an overaward.

Refund Policy

A student who withdraws from the Arizona School of Dentistry and Oral Health (ASDOH) prior to the end of an academic quarter must complete an "Exit Process" form available from the Office of Student Services. A student's eligibility for a refund will be determined by one of the two following formulas.

Institutional Refund Formula (For those without Federal Stafford Loans)

If a student withdraws during a semester, ASDOH will determine how much tuition/fees were unearned by the institution. It will be figured by calculating how many remaining calendar days there are in the payment period divided by the total calendar days in the payment period. (Scheduled breaks of five or more calendar days are excluded in the calendar day count.) The institution will pay back to the student (or lender) the unearned amount. After 60% of the payment period, the institution will have earned the total amount paid for that payment period. This method will apply regardless of whether the student received any financial aid or not.

For example, if a student withdrew after 43 calendar days, but paid for 129 calendar days, ASDOH would have earned 33.3% of tuition/fees paid. Therefore, 66.7% of the tuition/fees paid are unearned. ASDOH would refund to the student (or lender) 66.7% of the tuition/fees paid.

  • Tuition/fees paid for 129 calendar days = $23,085
  • Calendar days attended by the student = 43
  • Calendar days remaining in the payment period = 86 (129-43)
  • 86 ÷ 129 = 66.7% (Percentage of tuition/fees unearned by ASDOH)
  • 66.7% of $23,085 = $15,397.70 (Tuition/fees unearned by ASDOH)
  • Amount ASDOH refunds to the student (or lender) = $15,397.70

Return of Title IV Funds Formula (For those with Federal Stafford Loans)

If a Title IV recipient withdraws during a payment period, the institution must calculate the amount of Title IV funds that was unearned by the student. Unearned Title IV funds will be based on how many calendar days are remaining in the payment period divided by the total number of calendar days in the payment period. Unearned Title IV funds must be returned to Title IV programs, up to 60.00% of the payment period for which the student was charged tuition/fees. After 60.00% of the payment period, the student will have earned all Title IV funds for that payment period and no financial returns or refunds will be made.

For example, if a student paid tuition/fees with Title IV funds for 129 calendar days, but withdrew after 19 calendar days, the percentage of Title IV funds earned would be 14.7%. Unearned Title IV funds would be 85.3%. Therefore, ASDOH would return 85.3% of Title IV funds to the lender. If the student paid ASDOH $23,085 for tuition/fees, ASDOH would return to the lender $19,691.51 on behalf of the student.

  • Tuition/fees paid with Title IV funds for 129 calendar days = $23,085
  • Calendar days attended by the student = 19
  • Calendar days remaining in the payment period = 110 (129-19)
  • 110 ÷ 129 = 85.3% (Percentage of Title IV funds unearned)
  • 85.3% of $23,085 = $19,691.51 (Unearned Title IV funds)
  • Amount ATSU repays to the lender = $19,691.51

The funds must be paid back to the federal loan programs in the following order:

  1. Federal Unsubsidized Stafford Loan
  2. Federal Subsidized Stafford Loan
  3. Federal Perkins Loan
  4. Grad PLUS

Satisfactory Academic Progress

Satisfactory academic progress is required in order for students to receive financial assistance. Students must maintain a 2.50 GPA for satisfactory academic progress. However, a student may fail a particular class and still receive financial assistance if the Promotion Board gives the student a conditional grade. Therefore, all on-campus students who are enrolled at least half-time are eligible to apply for financial assistance.

LOA Policy

A leave of absence (LOA) is a period of time approved by the A.T. Still University of Health Sciences during which the student is not in attendance, but is enrolled. The maximum time allowed for an LOA is 90 calendar days, which will only be given in extenuating circumstances. In any 12-month period, ATSU will only grant one LOA to a student, except in the following two situations:

  1. A second LOA may be available due to an unforeseen circumstance, as approved by ATSU. The maximum second LOA cannot be longer than 30 calendar days. It is the student's responsibility to request a second LOA at least seven calendar days prior to when the student is requesting the LOA to begin;
  2. A third LOA may be granted only at the discretion of ATSU for military duty, jury duty, or circumstances covered under the Family and Medical Leave Act of 1993, as long as the total number of days of all the LOAs does not exceed 180 calendar days in any 12-month period.
